REPLACEMENT - Temporary contract - 7 months from June 1st to December 31st
Physical reception of customers (employees and visitors) at the reception desk;
Establishment and delivery of badges to visitors;
Management of meeting room reservations and calendar follow-up;
Handling incoming and outgoing calls;
Handling incoming/outgoing correspondence and e-mails from Reception;
Assisting in the management of supplier contacts and confirmations for various orders;
Booking transport and accommodation for company employees coming from abroad and visiting the Carouge office;
Handling correspondence, complaints and requests;
Coordinate the maintenance of office equipment with the Office Manager;
Liaising with the catering department to coordinate meeting requirements;
Checking and assisting in the planning of requirements in the cafeteria and storeroom.
Assisting in the development of services for employees and other clients: partnership and food-truck options;
Managing requests for business cards, wellness activities, gifts, goodies etc.
Participation in the organisation, communication and logistics of monthly internal events for employees and clients of the Dentsu Business Center;
Filing and archiving of various files;
Contact with the mobile phone provider for requests for activation of sim cards, new numbers, etc...
Ensuring that the security and use of the common areas (Reception, Cafeteria) are respected by employees, clients and visitors according to the procedures in force;
Fluent English and French is required
